Caritas Ukraine respects privacy and the protection of personal data in both offline and online environments, and is responsible for the processing and protection of personal data collected through the Safeguarding Portal. All users of the Safeguarding Portal https://www.safeguarding.caritas.ua accept the Terms of Use, of which this Data Collection and Processing Notice is an integral part.

Using the Safeguarding Portal does not require the transfer of personal data. The software may automatically collect certain anonymous information about users when visiting the Portal. This includes technical network information, such as: IP address (Internet Protocol) from which the user connects; domain name; browser type; operating system name; the website from which the user was referred; files that were downloaded; pages visited and dates/times of such visits.

Caritas Ukraine, if necessary, may use the services of web analysts to evaluate indicators of the Safeguarding Portal’s usage, compile activity reports, and summarize statistical data, etc. Information collected by such third parties, including IP addresses, may be stored on the servers of these third parties in accordance with internal privacy policies and legal requirements.

Personal Data

The Caritas Ukraine Safeguarding Portal may collect personal data only with the knowledge and consent of users. When registering on the Portal, you need to provide personal information:

  • first and last name;
  • corporate email address;
  • other information that the user, at their discretion, may provide for the purpose of restoring access to their personal profile (account) if needed in the future.

Sensitive Concerns

Caritas Ukraine has the right to request from an individual submitting a Sensitive Concern regarding suspicion or violation of the Safeguarding system, relevant, adequate, and non-excessive personal data for the purpose of identification and to ensure the possibility of further review and investigation of the concern (if necessary). The person submitting a Sensitive Concern gives consent to the processing of their personal data. At the request of the person addressing Caritas Ukraine, the report may be anonymous, however, anonymity of the concern may complicate or make further actions for consideration impossible. Caritas Ukraine guarantees the confidentiality of the information received, protection, and security for applicants at all stages of handling Sensitive Concerns.

Cookies

The Caritas Ukraine Safeguarding Portal may use cookies to summarize statistics that will help us improve and optimize the website’s performance. User IP addresses are not linked to personal data.

Information Processing

Information collected through automated means during the use of the Safeguarding Portal (cookies) is used for statistical analysis and evaluation of the website’s usefulness.

Caritas Ukraine may use personal data provided by users exclusively for the purposes for which it is collected:

  • registration of a user’s personal profile (account);
  • restoration of access to a user’s personal profile (account).

All information received through the Safeguarding Portal is not subject to sale and is not transferred to any third parties (with the exception of technical information that does not include personal data, access to which may be provided to web analysts). Caritas Ukraine staff involved in the administration of the Safeguarding Portal are obliged to comply with internal privacy policies and relevant regulations and procedures.

The processing of information received in a sensitive concern through feedback channels is carried out in accordance with the Procedure for Handling Sensitive Concerns and Providing Feedback within the Caritas Ukraine Network.

Caritas Ukraine emphasizes:

  • Caritas Ukraine does not collect personal data without consent.
  • Portal users have the right to contact Caritas Ukraine to review, correct, or delete their personal data.
  • Caritas Ukraine employees use secure methods for collecting personal data.
  • Only Caritas Ukraine employees whose duties include working with personal data have access to it.
  • Caritas Ukraine does not transfer personal data to third parties, except in cases of protecting the interests of their owners and providing information to state bodies for legal reasons.
